Formal Email Phrases & Register

Dutch distinguishes between informal (je/jij) and formal (u) register. Professional emails require the formal register.

Salutations (Aanhef)

Geachte heer/mevrouw, — Dear Sir/Madam (unknown recipient)
Geachte heer De Vries, — Dear Mr De Vries
Beste mevrouw Jansen, — Dear Mrs Jansen (slightly less formal)

Opening Lines

*Naar aanleiding van uw e-mail...* (Following your email...)
*Met betrekking tot...* (With regard to...)
*Hierbij stuur ik u...* (Hereby I send you...)
*Ik schrijf u om...* (I am writing to you to...)

Closings (Afsluiting)

Met vriendelijke groet, — Kind regards (most common formal)
Met hartelijke groet, — Warm regards (semi-formal)
Hoogachtend, — Yours faithfully (very formal)

Key Register Differences

*je/jij* → *u/uw*
*Hoi/Hallo* → *Geachte*
*Groetjes* → *Met vriendelijke groet*
*Kun je...?* → *Kunt u...?*
*Ik wil...* → *Ik zou graag willen...*

Tip: In Dutch business culture, the formal *u* form is standard for first contact. You may switch to informal after the other person suggests it.
