Formal Email Phrases & Register
Dutch distinguishes between informal (je/jij) and formal (u) register. Professional emails require the formal register.
Salutations (Aanhef)
- Geachte heer/mevrouw, — Dear Sir/Madam (unknown recipient)
- Geachte heer De Vries, — Dear Mr De Vries
- Beste mevrouw Jansen, — Dear Mrs Jansen (slightly less formal)
Opening Lines
- Naar aanleiding van uw e-mail... (Following your email...)
- Met betrekking tot... (With regard to...)
- Hierbij stuur ik u... (Hereby I send you...)
- Ik schrijf u om... (I am writing to you to...)
Closings (Afsluiting)
- Met vriendelijke groet, — Kind regards (most common formal)
- Met hartelijke groet, — Warm regards (semi-formal)
- Hoogachtend, — Yours faithfully (very formal)
Key Register Differences
- je/jij → u/uw
- Hoi/Hallo → Geachte
- Groetjes → Met vriendelijke groet
- Kun je...? → Kunt u...?
- Ik wil... → Ik zou graag willen...
Tip: In Dutch business culture, the formal u form is standard for first contact. You may switch to informal after the other person suggests it.
