Chairing a meeting in Italian: formal structures

In a B2 professional context, the meeting chair uses specific phrases to structure exchanges, move between agenda items, and reach decisions.

Structures for managing the flow

Moving to the next item:

  • *Passiamo al punto successivo dell''ordine del giorno.*

→ Let''s move on to the next item on the agenda.

  • *Se non ci sono altre osservazioni, andiamo avanti.*

→ If there are no further comments, we''ll move on.

Closing the meeting:

  • *Per concludere, ricapitolo i principali punti d''azione.*

→ To conclude, let me summarise the main action points.

  • *In sintesi, abbiamo concordato di delegare la responsabilità a...*

→ In summary, we have agreed to delegate responsibility to...

Putting to a vote:

  • *Metterei ai voti questa proposta.*

→ I would put this proposal to a vote.

  • *Chi è favorevole alzi la mano.*

→ Those in favour, please raise their hand.

Other useful phrases

Common mistakes

  • Passiamo al prossimo argomento dell'agenda.
    Passiamo al punto successivo dell'ordine del giorno.

    'Argomento dell'agenda' is a calque from English. In professional Italian, one says 'punto dell'ordine del giorno'.

  • Metto ai voti questa proposta.
    Metterei ai voti questa proposta.

    The conditional ('metterei') is required to make a polite proposal. The present indicative ('metto') sounds too authoritarian.

  • Ho ceduto la parola a Luigi.
    Cedo la parola a Luigi.

    The formula for handing over the floor is always in the present tense because it is performative: the act occurs at the moment of speaking.

  • Il verbale deve essere scritto dopo la riunione.
    Il verbale deve essere redatto dopo la riunione.

    'Scrivere il verbale' is common but 'redigere il verbale' is the correct professional term.

  • Vorrei che tutti partecipano.
    Vorrei che tutti partecipassero.

    Vorrei che requires the imperfect subjunctive: partecipassero, not the present participano.

  • Adesso discutiamo sul prossimo argomento.
    Adesso discutiamo il prossimo argomento.

    Discutere is directly transitive in Italian: no preposition su before the object.
