Writing Formal Emails in Chinese

Chinese formal emails follow a highly structured format with specific vocabulary that differs significantly from spoken language. Mastering this style is essential for professional communication in Chinese-speaking contexts.

---

Key Formal Particles and Words

(zī) is a classical Chinese particle meaning "hereby" or "herewith." It appears only in formal written contexts:

兹通知您… (Zī tōngzhī nín…) — We hereby notify you…

兹定于…举办会议 (Zī dìng yú… jǔbàn huìyì) — A meeting is hereby scheduled for…

(jìng) means "respectfully" and appears in many formal collocations:

  • 敬请 (jìng qǐng) — please (respectfully)
  • 敬启者 (jìng qǐ zhě) — Dear Sir/Madam
  • 敬祝 (jìng zhù) — respectfully wishing (closing)

---

Email Structure in Chinese

A formal Chinese email follows this order:

1. 称谓 (chēngwèi) — Salutation: 尊敬的王先生/女士 2. 开头 — Opening: 您好!or 兹就…事宜致函如下 3. 正文 — Body: state your purpose clearly 4. 结尾 — Closing: 敬请回复 / 期待您的回音 5. 落款 — Sign-off: 顺颂商祺 / 此致 + 敬礼

---

Formal vs. Informal Expressions

  • 谢谢 → 不胜感激 / 深表谢意 — thank you
  • 请回复 → 敬请回复 / 恭候佳音 — please reply
  • 告诉你 → 特此告知 — to inform you
  • 关于 → 兹就…事宜 — regarding

---

Key Pattern: 兹就…事宜,特此…

兹就合作事宜,特此致函,望予以考虑。

(Zī jiù hézuò shìyí, tècǐ zhìhán, wàng yǔyǐ kǎolǜ.)

Regarding the matter of cooperation, we hereby write to request your consideration.

표현

  • 兹就…事宜致函Formal written phrase meaning regarding the matter of... we write to you
  • 敬请回复Polite formal request for a reply, used in professional emails
  • 恭候佳音Formal closing meaning looking forward to your positive reply
  • 不胜感激To express deep gratitude, much stronger and more formal than 谢谢
  • 特此告知Hereby inform you — used to state a formal notification
  • 顺颂商祺Standard formal email sign-off meaning wishing you business success

자주 하는 실수

  • 我很感谢你的帮助,不胜感激。
    对于您的帮助,我不胜感激。

Do not use 不胜感激 together with 很感谢 — they mean the same thing. In formal emails, use 不胜感激 alone with 您 (not 你)

  • 此致,敬礼!
    此致 敬礼!

此致 and 敬礼 must be on separate lines. 此致 ends one line and 敬礼 begins the next as its own line, a standard convention in Chinese formal letters

  • 兹通知你明天有会议。
    兹通知您明天有会议。

In formal written Chinese, use 您 (respectful you) instead of 你 (casual you), especially when paired with classical particles like 兹
