Chinese formal emails follow a highly structured format with specific vocabulary that differs significantly from spoken language. Mastering this style is essential for professional communication in Chinese-speaking contexts.

Key Formal Particles and Words

(zī) is a classical Chinese particle meaning "hereby" or "herewith." It appears only in formal written contexts:

兹通知您… (Zī tōngzhī nín…) — We hereby notify you…

兹定于…举办会议 (Zī dìng yú… jǔbàn huìyì) — A meeting is hereby scheduled for…

(jìng) means "respectfully" and appears in many formal collocations:

  • 敬请 (jìng qǐng) — please (respectfully)
  • 敬启者 (jìng qǐ zhě) — Dear Sir/Madam
  • 敬祝 (jìng zhù) — respectfully wishing (closing)

常见错误

    对于您的帮助,我不胜感激。

    Do not use 不胜感激 together with 很感谢 — they mean the same thing. In formal emails, use 不胜感激 alone with 您 (not 你)

  • 此致,敬礼!
    此致 敬礼!

    此致 and 敬礼 must be on separate lines. 此致 ends one line and 敬礼 begins the next as its own line, a standard convention in Chinese formal letters

  • 兹通知你明天有会议。
    兹通知您明天有会议。

    In formal written Chinese, use 您 (respectful you) instead of 你 (casual you), especially when paired with classical particles like 兹
