To report what others said when dealing with travel problems, you use reported speech:

Me dijo que... (He/she told me that...) — reporting a statement
Le preguntó si... (He/she asked if...) — reporting a question
Dijeron que el vuelo fue cancelado. (They said the flight was cancelled.)

La recepcionista me dijo que mi reserva no existía.
(The receptionist told me my reservation didn't exist.)
Le pregunté si podían darme otra habitación.
(I asked if they could give me another room.)

Changes in reported speech:

Present → Imperfect: dice → dijo que era...
Future → Conditional: será → sería...
This → That: este → ese/aquel

Useful phrase in emergencies:
