Writing a Formal Letter in Russian

The formal Russian letter (деловое письмо) follows strict conventions for layout, register, and grammar.

Letter Structure

Header (Шапка)

  • Sender's details (top right): name, organisation, address
  • Recipient's details (top left): name, position, organisation
  • Date (below sender): written as *10 марта 2026 г.*

Opening (Обращение)

  • *Уважаемый Иван Петрович!* (to a named individual)
  • *Уважаемые господа!* (to a company/unknown recipient)
  • Always followed by an exclamation mark (!) in Russian formal letters

Body (Основная часть)

  • State the purpose: *Обращаемся к Вам в связи с…*
  • Use formal passive: *Сообщаем, что… / Уведомляем Вас о том, что…*
  • Capital «Вы/Ваш» when addressing the recipient formally

Closing (Заключение)

  • *С уважением,* followed by name and signature
  • *В ожидании Вашего ответа,* (Awaiting your reply)

Grammar: Formal Passive Constructions

Russian formal letters use impersonal and passive constructions extensively:

  • *Нами была получена Ваша жалоба…* (Your complaint was received by us…)
  • *Настоящим подтверждается, что…* (It is hereby confirmed that…)
  • *Просим принять к сведению следующее:* (Please be informed of the following:)
  • *К данному письму прилагаются документы:* (The following documents are attached:)

Formal Register Rules

  • Use full forms (not contractions)
  • Avoid colloquial vocabulary
  • Use infinitive constructions for requests: *Просим сообщить…* / *Прошу рассмотреть…*
  • Never use «ты» — always «Вы» (capitalised) with formal recipients

Common mistakes

  • Уважаемый Иван Петрович, мы хотим сообщить вам о проблеме.
    Уважаемый Иван Петрович! Сообщаем Вам о возникшей проблеме.

    Formal Russian letters use an exclamation mark (!) after the salutation, not a comma. «Вы» is capitalised in formal correspondence. «Мы хотим» is too informal; use the more direct official form «Сообщаем».

  • Просим вас рассмотреть нашу проблему побыстрее.
    Просим Вас рассмотреть данный вопрос в установленные сроки.

    «Побыстрее» (quickly) is colloquial and inappropriate in formal writing. Use «в установленные сроки» (within the stipulated timeframe). Also «Вас» must be capitalised in formal letters.

  • В конце письма нужно написать 'Всего хорошего'.
    В конце письма следует написать «С уважением».

    «Всего хорошего» is an informal farewell. The standard formal closing in Russian business letters is «С уважением» (Yours sincerely / With respect).

  • Приложение: договор, акт, счёт.
    Приложения: копия договора, акт выполненных работ, счёт-фактура.

    In formal letters, attachments should be listed with full, precise names. Using abbreviated or incomplete names is inappropriate in official correspondence.

  • Мы обращаемся к вам по поводу того, что вы нам не заплатили.
    Обращаемся к Вам в связи с несвоевременной оплатой по договору №123.

    Formal letters require impersonal, neutral language. Accusatory wording («вы нам не заплатили») should be replaced with neutral bureaucratic phrasing. Also «Вам» is capitalised.

  • Ответьте нам как можно скорее.
    Просим Вас направить ответ в течение 10 рабочих дней.

    «Ответьте нам» (Answer us) is too direct and informal. Formal Russian letters use impersonal infinitive constructions: «Просим направить ответ» with a specific timeframe.

  • Данное письмо было написано по поводу вашей жалобы.
    Настоящее письмо составлено в ответ на Вашу жалобу от 1 марта 2026 г.

    «Данное письмо было написано» is passive but informal. «Настоящее письмо составлено» is the correct formal bureaucratic expression. Include the date of the original complaint for precision.
