Writing Formal Letters in Korean

Korean formal letters follow strict conventions. Master these grammar structures for professional correspondence.

Key grammar points:

  • -하여야 한다 — Formal obligations in letter content.
  • 첨부 서류를 검토하여야 한다. (The attached documents must be reviewed.)
  • -되었다 (passive perfect) — Reporting status updates and actions taken.
  • 귀사의 요청이 접수되었습니다. (Your company's request has been received.)
  • -다고/라고 (indirect speech) — Quoting previous communications.
  • 귀사에서 3월까지 납품이 가능하다고 연락주셨습니다. (You contacted us saying that delivery by March is possible.)
  • -(으)ㄹ 필요가 있다 — Politely requesting action.
  • 빠른 시일 내에 회신해 주실 필요가 있습니다. (There is a need for you to reply as soon as possible.)

Formal letter structure: 1. 수신: (To:) — Recipient 2. 제목: (Subject:) — Letter topic 3. 본문 (Body) — Use formal endings -습니다/-습니까 4. 첨부 (Attachments) if applicable 5. 끝맺음 (Closing) — 감사합니다 / 이만 줄이겠습니다

आम गलतियाँ

  • 우리 회사의 요청이 접수됐어요
    귀사의 요청 사항이 접수되었습니다

    In a formal letter use the honorific 귀사 for the other company (not 우리 회사) and the formal passive 접수되었습니다, not the casual 접수됐어요.

  • 빠른 시일에 회신해 주시기 바랍니다
    빠른 시일 내에 회신해 주시기 바랍니다

    You need 내에 (within) here. 빠른 시일 내에 = within a short time. Dropping 내 leaves the time phrase incomplete.

  • 첨부 서류를 검토해야 해요
    첨부 서류를 검토하여야 합니다

    Letters use 합니다체, not 해요체. For a formal obligation say 검토하여야 합니다, not the spoken 검토해야 해요.

  • 3월까지 납품이 가능하다고 했어요
    3월까지 납품이 가능하다고 하셨습니다

    When quoting the recipient, raise their action with -셨- and stay formal: 하셨습니다, not the plain 했어요.

  • 정중히 협조를 요청드려요
    정중히 협조를 요청드립니다

    The humble 요청드리다 still needs the formal 합니다체 ending: 요청드립니다, not the casual 요청드려요.
